Reporting into the International Executive Creative Director, the Executive Assistant will act as the first point of contact offering administrative and personal support to the executives.
The Executive Assistant must be motivated and focused on anticipating the needs of the people they support. They must be organized, professional and pro-active, but able to work in a casual environment. We want someone who can remain calm under pressure and is excellent at multi-tasking.
Responsibilities: Manage executive’s calendar & ensure executive makes meetings on time Book executive’s travel (flights/hotels/cars/taxis/couriers, etc) Process executive’s expenses in timely manner Update timesheets bi-weekly Field phone calls during working hours Create presentations as needed Personal errands as needed Get meals/drinks for executive as needed; order agency dinner on occasion
Requirements: College degree required, Business/Marketing/International concentration preferred Previous experience as an Administrative Assistant in Advertising or Entertainment field High detail orientation; able to handle complex instructions with care and follow-through Resourceful and able to problem solve Must be a team player with proactive attitude Accuracy and timeliness in execution of assigned tasks Ability to balance priorities for the efficient flow of work Ability to anticipate executive’s needs and respond accordingly Ability to keep executive updated on progress relative to day High degree of flexibility and availability to travel as needed
