Our client is seeking a top notch, experienced Executive Assistant to work directly with the CEO. The person in this position will be responsible for providing right-arm Executive Administrative support. This role will require a proactive individual who relishes a high work load, multi-tasks with ease, and actively seeks to be involved in work groups and projects. The Executive Assistant will need to be able to juggle the travel requirements of their manager and show initiative whenever the opportunity arises. The ideal candidate will have a positive outlook and a ‘can do’ attitude, demonstrating flexibility, outstanding organizational skills, and the ability to deal with ambiguity.
Responsibilities:
- Arrange travel, domestic and international
- Coordinate schedules and draft presentation materials
- Manage incoming correspondence (phone, email, fax) with attention to detail and accuracy
- Manage calendar and schedule meetings
- Manage all expenses and prepare supporting documentation
- Assist with personal work such as online accounts, personal travel planning, and appointments
- Assist with research as needed
- Liaise with other departments (IT, HR, Marketing, Finance) to improve effectiveness and resolve repeating problems
- Coordinate global leadership events, including logistics, agenda and content
- Handle all responsibilities with discretion
Requirements:
- Experience working with the highest levels of management in a global organization
- Professional experience in the media and creative industries
- Degree strongly preferred
- Strong proficiency in MS Office Outlook, Word, Excel (advanced PowerPoint)
- Excellent organizational, planning, and problem solving skills
- Demonstrated strong interpersonal skills
- Strong communication skills; both written and oral
- Self motivated, reliable, resourceful, and enthusiastic with a high energy level
- Highly creative and flexible
- International experience preferred
Salary DOE + benefits + discretionary bonus
HOURS: 8:30am – 6:00pm with flexibility for OT
