Job Description

The Receptionist is the first representative of the organization to visitors. Under the general direction of the department manager, this individual will provide information, regulate visitor traffic, facilitate security control procedures, and conserve staff time of technical personnel.

Operate multi-line telephone systems, personal computers, and fax machines to compose, acknowledge, or transmit information or documents to customers, employees or the general public.
Respond to complaints and inquiries from customers, employees, or the general public.
Provide information about the company, such as location of departments or offices, employees within the organization, or services provided.
Perform administrative tasks such as proofreading, transcribing handwritten information, scheduling appointments, maintaining and updating calendars, and sorting mail.
Contribute to the security of the organization by helping to monitor the access of visitors. This includes greeting persons entering the office, determining the nature and purpose of the visit, and directing or escorting them to specific destinations.
Monitor alarm systems in order to ensure that secure conditions are maintained.
Route emergency calls appropriately.
Place telephone calls or arrange conference calls as instructed.
Order, receive, and maintain office supplies.
Maintain company employee directories.
Maintain standards of professional, courteous, and consistent customer service.

Required Experience

H.S. Diploma or GED; some college preferred

Experience in Microsoft Office applications, including Word, Excel and Outlook

Work experience demonstrating the ability to perform the essential functions of the position
Experience with multi-line phones
