Job Description:
Reporting to the Director, Staffing & Employee Engagement, this position is responsible for providing a “best in class” candidate and employee experience. The incumbent partners effectively with the HR team and provides professional support during the recruitment lifecycle, including scheduling interviews, processing offer letters, and finalizing paperwork. Strong organization and prioritization skills are a must.
•Manage the operations aspect of staffing and employee engagement activities within a faced paced 24 hour environment
•Create a positive and streamlined recruiting, hiring and on-boarding experience
•Ensure data integrity of the Applicant Tracking System, Calendar, and other required document flow
•Manage communications
•Distribute interview schedules, resumes, candidate evaluations to the interviewing team
•Create and distribute accurate employment-related information in a manner that is clear, timely and appropriate such as applications, offer letters, and orientation materials
•Distribute interview agendas to the candidate
•Greet candidates for interviews and escort them to the hiring manager
•Initiate and track background checks and references
•Communicate new hire data and start date with all relevant parties (HR team, Office Services, I.T.)
•Review new hire paperwork for discrepancies, contact new hires to resolve any paperwork issue
•Collect and submit all new hire paperwork for processing
•Manage internship program to include coordinating events, posting job openings, screening resumes, and scheduling interviews
•Assess job descriptions for thoroughness, accuracy and appropriate status and designations (FT/PT, Union, Non-union, FLSA, etc.)
•Create and publish job postings
•Timely post and update job postings to external, niche job boards, social networking sites, and other job boards
•Organize employee events
•Maintain recruitment and employee engagement costs, and reconcile invoices for payment
•Responsible for record retention and applicant flow
•Maintain weekly/monthly/annual reports
•Deliver high quality work in a dynamic work environment by taking initiative to complete unanticipated or ad hoc projects, and delivering work according to deadlines
Desired Skills & Experience
•Minimum of Bachelor’s degree in Human Resources
•Minimum of 1 year experience successfully working in a support role within corporate recruiting department
•Experience fully utilizing an on-line applicant tracking system is required
•Prior experience with internship programs
•Proven success assisting with the interview process and driving on-boarding within a candidate care model
•Strong sense of urgency, and excellent organization and follow up skills
•Highly proactive with ability to work independently when appropriate
•Ability to manage details, multi-task and effectively prioritize
•Requires a positive, professional demeanor and strong customer service orientation
•Effective time management and ability to work well under tight deadlines
•Requires the intellectual and emotional depth, maturity, self-confidence and interpersonal skills to work effectively and/or interact with the other staff, executives, colleagues, guest and vendors as needed
•Excellent communication skills—with an impressive reputation for building and maintaining relationships with people at all levels of an organization, across a diverse range of cultural, generational, ethnic, racial, educational and social backgrounds
•A strong command of the English language with excellent writing skills
•Skilled in sharing written and verbal information in a clear, timely and appropriate manner, and listening actively before taking action
•Adept at making smart decisions while remaining calm, navigating ambiguous situations, adjusting easily to change and helping others
